Privacy policy
This policy explains what personal data vheatc.site collects when you buy from us, how we use it, and the rights you have over it. We keep the data we collect to the minimum needed to fulfil your order.
Who is responsible for your data
The data controller is Promagen Ltd (registered in England & Wales, company number 17089097), 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom. For any privacy question, email cooling@vheatc.site.
What we collect
When you place an order we collect the information needed to process and deliver it: your name, delivery address, email address and phone number. We also keep basic order records. If you submit a back-in-stock request or a product review, we collect the email address (and, for a review, the name and rating) you provide.
Payment data
Card payments are processed by Stripe. Your card details are entered on Stripe’s secure systems — vheatc.site never receives or stores your full card number. Stripe processes payment data as an independent controller under its own privacy policy.
How we use your data, and our legal basis
We use your data to take payment, fulfil and deliver your order, handle returns or refunds, send any back-in-stock alert you asked for, and respond to your enquiries — this is necessary to perform our contract with you or to act on your request. We also keep transaction records to meet our legal and tax obligations.
Who we share it with
We share your data only with the service providers needed to run the shop: Stripe (payment processing), Royal Mail and any carrier used to deliver your parcel, Resend (which delivers our notification emails), and our hosting provider Vercel. These providers may process data outside the UK; where they do, that processing is covered by appropriate safeguards. We do not sell your data or use it for advertising.
Cookies
This website does not use advertising or tracking cookies. The Stripe checkout page, which opens on Stripe’s own domain, uses cookies that are strictly necessary to process your payment securely.
How long we keep it
We keep order and transaction records for as long as needed to provide support and to meet our legal and accounting obligations (in the UK, tax records are generally kept for six years). After that, data is deleted or anonymised.
Your rights
Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, and to data portability. To exercise any of these rights, email us at cooling@vheatc.site. If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner’s Office (ico.org.uk).
Changes to this policy
